New Task Tracker Bulk Actions

Mavenlink's new and improved Task Tracker is in early release, giving users like you the opportunity to test new features and provide input and feedback. During this time, you're free to switch between the new and old Task Tracker to see the difference. If you would like to participate in early access, please contact your Client Success Manager or have an Account Administrator enable the New Task Tracker via the Early Access page.

Overview

You can use bulk action options to perform specific actions on a large number of tasks, such as updating task types, changing task statuses, adding task tags, changing task start dates, assigning members to tasks, duplicating tasks, archiving old tasks, and deleting tasks.Task-Tracker-Bulk-Actions-Selection.png

To access the bulk actions, select one or more tasks by checking the boxes in front of the task name in the first column of the table. This will cause the bulk actions to appear, temporarily replacing the standard toolbar options.Bulk_Actions_in_New_Task_Tracker_Toolbar.png

How to Bulk Archive Tasks

  1. In the task list, check the box to the left of each task you'd like to archive.
  2. Click the Archive (“   ”) icon to archive the selected tasks. Since you aren't able to reverse this action, you'll be asked to confirm whether or not you'd like to proceed with archiving the selected tasks.
Note: You can only archive subtasks by archiving their parent task. When you archive a parent task, all subsequent subtasks are also archived. The bulk archive button will appear deactivated if you only have subtasks selected.

How to Bulk Delete Tasks

  1. In the task list, check the box to the left of each task you'd like to delete.
  2. Click the Delete (“   ”) icon to open the Delete Tasks modal.
  3. Click Delete to apply your changes.

How to Bulk Change Task Statuses

  1. In the task list, check the box to the left of each task you'd like to change task statuses for.
  2. Click the Status button to open the Change Task Status modal.
  3. Use the radio button to select the new task status for the selected tasks.
  4. Click Change Status to apply your changes.

How to Bulk Change Task Types

  1. In the task list, check the box to the left of each task you'd like to change task types for.
  2. Click the Type button to open the Change Task Type modal.
  3. Use the radio button to select the new task type for the selected tasks.
  4. Click Change Type to apply your changes.

How to Bulk Add Task Tags

  1. In the task list, check the box to the left of each task you'd like to add a task type to.
  2. Click the Tags drop-down menu, and then select Add Tags.Task-Tracker-Bulk-Tags.png
  3. In the Add Tags modal, type the tag you'd like to add to the selected tasks, and then press Enter / Return on your keyboard.
  4. You can add as many tags as you like, pressing Enter / Return on your keyboard after every new tag you enter. If you make a mistake, you can remove a tag by clicking the "X" icon to the right of the tag name.
  5. Click Add [#] Tags to apply your changes.

How to Bulk Change Task Start Dates

  1. In the task list, check the box to the left of each task you'd like to change the start date for.
  2. Click Date in the top-right corner of the screen. 
  3. In the Change Task Start Dates modal, type in a new date in the Start field or click the calendar icon to select one from the date picker that appears.
  4. Click Change Dates to apply your changes. Bulk_change_dates.png
    Note: If the task whose start date you're trying to change has a subtask(s), the Date button will be disabled. In this case, you can only change the date for the last subtask in the task hierarchy, so you will need to expand the hierarchy and check the box for the last subtask in order to enable the Date button.

How to Bulk Add Assignees

  1. In the task list, check the box to the left of each task you'd like to add assignees to.
  2. Click the Assignees button to the open the Assign Members to [#] Tasks modal.
  3. Select the resource(s) you want to assign to the selected tasks from the All Project Resources drop-down.
  4. Click Add [#] Assignees to apply your changes.

How to Bulk Duplicate Tasks

  1. In the task list, check the box to the left of each task you'd like to duplicate.
  2. Click the Duplicate button at the top-right corner of the screen. Newly duplicated tasks will appear at the top of the task list with the original task names.Bulk_duplicate_modal.png
    Note: When a subtask is duplicated, it becomes a parent task. If you want to duplicate a subtask and maintain the original task hierarchy, you must recreate the hierarchy after all the tasks have been duplicated.

How to Bulk Distribute Scheduled Hours to Tasks

After resource estimated hours have been added to tasks, you can evenly distribute these hours as scheduled hours to assignees on the task.

Note: In order for the scheduled hours to properly distribute, a selected task must have both a Start and Due Date and the resource estimated hours must not exceed 24 hours per day between the Start and Due Date.
  1. In the task list, check the box to the left of each task you'd like to distribute scheduled hours to.
    Tip: To distribute scheduled hours to subtasks, select the arrow to the left of a task name to expand the subtasks, then check the box of the subtasks you want to include.
  2. Click Scheduled Hours in the top-right corner of the screen, then select Distribute Scheduled Hours.

  3. In the Distribute Scheduled Hours modal, select Distribute Scheduled Hours to confirm that you want to replace all existing scheduled hours for assignees on each selected task with scheduled hours matching the resource estimated hours. The scheduled hours—shown in the Scheduling section of the Task Details panel—are evenly distributed between the task start date and end date.

How to Bulk Clear Scheduled Hours from Tasks

  1. In the task list, check the box to the left of each task you'd like to clear scheduled hours from.
    Tip: To clear scheduled hours from subtasks, select the arrow to the left of a task name to expand the subtasks, then check the box of the subtasks you want to include.
  2. Click Scheduled Hours in the top-right corner of the screen, then select Clear All Scheduled Hours.

  3. In the Clear All Scheduled Hours modal, click Clear to confirm that you want to remove all scheduled hours from the selected tasks. The scheduled hours are deleted and no longer appear in the Scheduling section of the Task Details panel.
