Managing Past Time Off

Learn how to view past time off/PTO in the Resource Center or project Resourcing tab and how to delete past time off.

Overview

There may be times when you need to view or delete past time off for yourself or members of your account. You can view past time off from the Resource Center or a project’s Resourcing tab and delete past time off from the User Details side panel.

Viewing Past Time Off in the Resource Center

1. Click Resourcing in the left navigation bar.
2. Under the Team Members tab on the Resource Center page, click the small arrow to the left of the user you’re viewing past time off for. The Time Off row appears at the bottom of the expanded list.
3. Above the timeline, click the Calendar icon (“   ”) and use the back (“   ”) arrow to scroll through and select the date on which the time off previously occurred.
   
   Note: To view the timeline by day, week, or month, click the D (day), W (week), or M (month) icon.
4. Previous time off for the selected timeframe appears (in hours) on the Time Off row.

Viewing Past Time Off in the Resourcing Tab of a Project

1. In the left navigation, click Projects, and then select the desired project from the Project List.
2. In the project workspace, click the Resourcing tab.
3. In the Team Member list on the left side of the tab, click the small arrow to the left of the user you’re viewing past time off for. The Time Off row appears at the bottom of the expanded list.
4. Above the timeline on the right side of the tab, click the Calendar icon (“   ”) and use the back (“   ”) arrow to scroll through and select the past date on which the time off previously occurred.
5. Previous time off for the selected timeframe appear (as hours) on the Time Off row.

Deleting Past Time Off

If you need to delete a user's past time off entry for any reason (e.g. if the time off occurred on a day other than what was originally scheduled), you can do so in the User Details side panel.

1. Click on a member’s name or profile picture from most places in Kantata OX—with the exception of the Members page— to open the User Details side panel.
   
2. Click Schedule in the top section.
3. Under the Upcoming Time Off section, click Add Time Off. The Time Off modal appears.
4. Click the Start Date field and select the date when the past time off period started.
5. Click the End Date field and select the date when the past time off period ended. The time off (in hours) for that day automatically loads.
   
   Note: If you want to delete time off that occurred on only one day, select that date for both the Start Date and End Date.
6. Enter 0 in the Hours section.
7. Click Save at the bottom of the modal. The past time off is deleted.
