Cross-Project Scheduling [Early Access]

 

EARLY ACCESS!

Cross-Project Scheduling in the newly renamed Resource Center (formerly known as Master Planning) is now available in early access, giving users like you the opportunity to test new features and provide input and feedback. During this time, you're free to enable Cross-Project Scheduling or keep it off until it is generally available. If you would like to participate in early access, have an Account Administrator enable Cross-Project Scheduling via the Early Access page.

Overview

The Resource Center—formerly known as Master Planning—is a central location where you can easily manage resource supply and demand and quickly update allocated hours and assignments as project needs change. With the addition of Cross-Project Scheduling in the Team Members tab, you can manage allocated hours at the project level, then drill down into to the task level to manage scheduled hours for your resources.

Regardless of your selected display preference for the Resource Center, the Team Members tab allows you to see scheduled hours for tasks across projects and complete specific actions for the scheduled hours.

Team Member List

The Team Member list shows named and unnamed resources, the projects they are participating in, and the tasks within those projects that are assigned to them.

In the project row, you can see the resource's number of allocated, scheduled, and actual hours for the project. In the task row, you can see their estimated, scheduled, and actual hours for the task.

Scheduled Hours on the Timeline

The Resource Center timeline shows the workload and availability of resources by displaying allocated hours, scheduled hours, or both. Within the Team Members tab, each bar in the task row is a visual representation of how many hours per day each resource is scheduled to work on a given task in a project. The color of each bar corresponds to the project color.

When scheduled hours per day are the same for consecutive days, the bars will combine to create a longer bar. If the hours per day are different for consecutive days—for example, the first two days in a week have 2 scheduled hours and the next three have 4 scheduled hours assigned—the bars will be separate.

On the timeline, you can also see brackets that indicate a task's Start Date (" [ ") and Due Date (" ] "). Hover over a bracket to see the Start and Due Date of a task.

From the timeline, you can complete the following actions:

  • Add scheduled hours
  • Edit existing scheduled hours
  • Extend or shorten the date range of the assignment
  • Delete scheduled hours
Note: You can only add and edit scheduled hours for projects you are participating in if you have Project Financials (or higher) project permissions or the permissions to schedule hours for yourself and others.

Resource Center Actions

How to Add Scheduled Hours

  1. Hover over Resourcing on the left navigation and select Resource Center.
  2. On the Resource Center page, select the Team Members tab.

  3. In the Team Members tab, select the arrow to the left of a resource row to expand it and show the resource’s projects.

  4. Select the arrow to the left of a project row to expand it and show the resource’s tasks.

  5. Locate the task that you want to add scheduled hours to, then click and drag from the day you want the scheduled hours to start to the day you want the scheduled hours to end. The Add Scheduled Hours modal opens.

  6. Enter the number of scheduled hours per day that you want to add to the task for the resource and—if necessary—adjust the Start Date or End Date.

  7. Click Save. The scheduled hours bar appears on the timeline.

How to Distribute Scheduled Hours

You can create scheduled hours based on the resource’s estimated hours that are already on the task assignment.

  1. Hover over Resourcing on the left navigation and select Resource Center.
  2. On the Resource Center page, select the Team Members tab.

  3. In the Team Members tab, select the arrow to the left of a resource row to expand it and show the resource’s projects.

  4. Select the arrow to the left of a project row to expand it and show the resource’s tasks.

  5. Locate the task that you want to reassign scheduled hours for, then click the More ("   ") icon and click Distribute Hours.

    Note: You must have permissions to schedule hours on the project to distribute hours. Users with Report Viewer or higher account permissions can also schedule hours.
  6. In the Distribute Scheduled Hours modal, select Distribute. The scheduled hours appear in the task row.

How to Edit Scheduled Hours

  1. Hover over Resourcing on the left navigation and select Resource Center.
  2. On the Resource Center page, select the Team Members tab.

  3. In the Team Members tab, select the arrow to the left of a resource row to expand it and show the resource’s projects.

  5. Locate the task that you want to edit scheduled hours for, then click on a scheduled hours bar. The Edit Scheduled Hours modal opens.

  6. Update the Start Date, End Date, or Hours/Day fields, and then click Save. The updated information appears on the timeline.

How to Adjust Scheduled Hours Dates

  1. Hover over Resourcing on the left navigation and select Resource Center.
  2. On the Resource Center page, select the Team Members tab.

  3. In the Team Members tab, select the arrow to the left of a resource row to expand it and show the resource’s projects.

  4. Select the arrow to the left of a project row to expand it and show the resource’s tasks.

  5. Locate the task with scheduled hours you want to adjust, hover over the scheduled hours bar, and perform one of the following actions:

    • Shift hours—Click and hold the center of the bar and drag it to the desired date range.

    • Adjust start date—Click and drag the left edge of the bar to extend or shorten the period of scheduled hours and change the start date.

    • Adjust end date—Click and drag the right edge of the bar to extend or shorten the period of scheduled hours and change the end date.

    The changes you make will reflect on the timeline.

How to Delete Scheduled Hours

  1. Hover over Resourcing on the left navigation and select Resource Center.
  2. On the Resource Center page, select the Team Members tab.

  5. Locate the task with the scheduled hours you need to delete, then click the scheduled hours bar next to the task in the timeline.

  6. In the Edit Scheduled Hours modal, select Delete.

    Scheduled hours are removed from the task.
