Insights: Fees Dashboard

To see reporting for Mavenlink’s multi-currency functionality, you must first enable Foreign Exchange for your account.


Overview

The Fees dashboard helps you understand where your revenue is coming from. It shows you actual fees on projects, whether Time and Material or Fixed Fee projects, and provides both a historical and projected view of scheduled or allocated fees.

Bill rates can be set for an individual member, or through the use of Rate Cards.

You can adjust the filters across the top of each tab to find the information you want. Filters are persistent across tabs, so you can quickly see relevant information specific to what you want. For example, the Forecast Type filter lets you see information as it relates to Allocated or Scheduled hours, and remains as either Allocated or Scheduled as you move from tab to tab. insights-new-fees-dashboard-forecast-type-filter.png

Allocated hours are pulled from Master Planning. They are defined as how much a resource is “planned" or "allowed” to work on a project based on who’s available and/or most capable of performing the work.

Scheduled hours are pulled from the assigned tasks within a project. They are defined as the number of hours a resource is to spend on that activity for that project.

The standard Fees dashboard tabs are:


By Month

The By Month tab gives you a high-level view of your Actual Fees vs. Forecast Fees, your variance, the task budgets, and your average bill rate. At a glance, you can see where you stand for a particular month, quarter, or other specified time frame. insights-new-fees-actual-forecast-by-month.png

Selecting one of the headline metrics, such as Actual Fees, Forecast Fees, or Task Budgets in Period gives you a project-by-project breakdown of each. insights-new-fees-dashboard-actual-fees-drill-in.png

The Fees Variance by Project table helps you understand revenue attributable to projects within the month, quarter, or other specified time frame.  or other time frame. insights-new-fees-dashboard-variance-by-project.png

Selecting a Project creates a persistent filter for that project throughout the dashboard.



By Project

The By Project tab looks at the lifespan of a project, and provides valuable data on the current and Estimate at Completion (EAC) burn rate of a project’s total budget.

The Fees by Project Color graph reflects the total fees for the status of the project. insights-new-fees-dashboard-by-project.png

The Date Threshold acts as a cut-off date for Actual Fees and Forecast Fees to calculate your EAC. Your actual fees are calculated before the selected date while forecasted fees are calculated after the selected date.  insights-new-fees-dashboard-by-project-date-threshold.png

By default, all non-archived projects are visible in the Fees Burn by Project table, letting you quickly see which projects are over budget and may need attention.insights-news-fees-dashboard-fees-burn-by-project-table.png

You can drill down by selecting an amount from the Actual column for a project to see fees based on tasks, users, and roles. insights-new-fees-dashboard-fees-by-project-detail.png

Selecting a value from the Future Forecast column shows you forecasted fees by user for a project. insights-new-fees-dashboard-project-forecast-detail.png


By Role & User

Reports in the By Role & User tab make it easy to spot users and roles that are billing at abnormally high or low rates. insights-new-fees-dashboard-by-role-user.png

Each bubble on the graph represents the Bill Rate (All Hours) of a role, meaning it includes billable and non-billable time. The higher the bill rate, the larger the bubble. Generally, you want to see the bubbles trend up and to the right.

Selecting either a Role or a User gives you a project-by-project breakdown.



Global Fees

The Global Fees tab is useful if you do business in multiple currencies. With Mavenlink’s multi-currency capabilities enabled, the Global Fees tab pulls data from your foreign exchange table to show you reports that convert fees in various project currencies into a single currency. This makes it easier to analyze your company’s global financial health. insights-new-fees-dashboard-global-fees.png

The conversion rate data is pulled from your Foreign Exchange Default Rate Table. Note that you must include a 1:1 ratio of the same currency that you want to convert to for Source Currency and Target Currency in your exchange table. This way, you can see converted and non-converted values in the same report. For example, in the screenshot below you can see that both the source and the target currencies are "USD” and the exchange rate is set to "1.0”.Exchange-Rate-File-One-to-One-Ratio-2.png

NOTE: A Source Currency and a Target Currency make up a currency pair. For Insights, the exchange rate table is limited to 100 currency pairs. 


For the standard Fees dashboard, the following ISO currency codes are supported: AUD, BRL, CAD, CHF, CLP, CNY, CZK, DKK, EUR, GBP, HKD, HUF, IDR, ILS, INR, JPY, KRW, MXN, MYR, NOK, NZD, PHP, PKR, PLN, RUB, SEK, SGD, THB, TRY, TWD, USD, ZAR. If you use other currencies, you can clone the dashboard and build custom metrics to include any of our supported ISO currency codes.

The Actual vs. Forecast Fees by Project table shows you the project currency and the fees based on the currency you selected to convert to. The currency you are converting to appears in the table title. insights-new-fees-dashboard-actual-forecast-project-table.png

You can select an amount for Actual Fees or Forecast Fees for a project to see its Original Fees, the exchange rate, and the resulting Converted fees. insights-new-fees-dashboard-global-fees-table-drill-in.png



Fixed Fee by Project

The Fixed Fee by Project tab lets you compare the burn of project fees against projected current estimated revenue. insights-new-fees-dashboard-fixed-fee-project.png

The data in the table is driven by the % Complete Method you choose to calculate your Estimated Revenueinsights-new-fees-dashboard-fixed-fee-project-complete-method.png

  • Option A: The percent complete of top-level tasks of a project.
  • Option B: The hours logged by members divided by the estimated time to complete a task.

The percent complete of top-level tasks is pulled from the Status field in the header of the Task Details side panel.



Fixed Fee by Task

The Fixed Fee by Task tab is similar to Fixed Fee by Project, only it breaks information down by task rather than project. insights-new-fees-dashboard-fixed-fee-task.png

Effective Bill Rate

The Effective Bill Rate tab analyzes your bills rates' monthly trend for both billable and non-billable time. This way, you can see if there is a significant difference between them, which may suggest not enough billable time is being spent on projects. insights-new-fees-dashboard-effective-bill-rate.png

If you are using Rate Cards, the Effective Rate per Rate Card & Role table makes it easy to identify which roles and rate cards bill out higher or lower on average. insights-new-fees-dashboard-effective-rate-rate-cards-table.png
