Managing Team Member Project Roles

 

Overview

On a project’s Rates & Roles page, there are several available actions for managing a team member’s rate, primary project role, and any additional project roles they may have:

  • Changing a team member’s project role
  • Adding multiple roles to a team member
  • Reassigning a team member's project role
  • Deleting a project role
  • Adding an unnamed resource
  • Converting a team member to an unnamed resource

How to Assign Multiple Roles to a Team Member

With multi-role resourcing in Kantata OX, team members can perform multiple roles on the same project so you can better manage project margins and billing rates. When a team member has multiple roles on a project, time tracked against an assignment will automatically use the correct bill rate for the assigned role (as set in Rate Cards).

  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the Rates & Roles page, click the More icon in the Actions column next to the team member’s name and then select Add Role. A new line appears below the team member’s name.
  5. Select the additional role from the Add Role drop-down on the new line. The new role now appears as a second Assignee option for the project tasks.

    Note: If Rate Cards are enabled, you will only see Roles associated with the Rate Card.

How to Change a Team Member’s Primary Project Role

This option is useful for updating the member's bill rate on multiple time entries to the bill rate of the new role. If an account-level time lock is set, this will not backfill time entries prior to the time lock date.

  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the Rates & Roles page, click the Expand More arrow to the right of the role under the team member’s name. A drop-down menu appears.

  5. Select the member’s new Primary Project Role. You're prompted to backfill the bill rate and role on uninvoiced time entries for this team member.Backfill_rate_and_role.png
    Note: When the Account Role of a team member is overridden, an asterisk (“ * ”) will appear to the right of the role drop-down menu. Hovering over the asterisk displays the original Account Role before it was overridden for the project.

How to Reassign a Team Member’s Role on a Project

  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the Rates & Roles page, click the More icon in the Actions column next to the team member’s name and then select Reassign.
  5. In the drop-down that appears, select a team member to reassign the role to.Reassign_role.png

How to Delete a Project Role

Note: You may only delete a role as long as it's not the only remaining Primary Role for that team member. Team members can be removed from a project using the Project Permissions page.
  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the Rates & Roles page, click the More icon next to the team member’s role you want to delete and then select Delete.Delete_role.png

How to Convert a Team Member to an Unnamed Resource

Note: A team member will still remain on a project after they’re converted to an unnamed resource. To remove the team member from a project, you can do so from the Project Permissions page.
  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the Rates & Roles page, click the Actions icon to the right of the project name and then select Convert to Unnamed Resource.Convert_to_unnamed_resource.png
    Note: If a team member has more than one project role, you’ll need to click the More icon for the specific role you want to convert to an unnamed resource. The remaining role(s) will remain assigned to that team member.
  5. Confirm the action in the modal that appears by clicking OK. The team member is converted and a new unnamed resource appears at the top of the list.Confirm.png

How to Add an Unnamed Resource

  1. Select Projects in the left navigation.
  2. In the Project Lists tab on the Projects page, select your project.
  3. In the project workspace, click the Actions icon to the right of the project name and then select Rates & Roles.

  4. On the right side of the Rates & Roles page, click + Add Unnamed Resource. The new resource appears at the top of the Rates & Roles list.

  5. Select the new unnamed resource's role from the Role column drop-down.

  6. The Resource side panel opens. From here, you can add or edit details for the resource.Resource_side_panel.png
