Access and Permissions
Q: Why does a dashboard say “No Access”?
A: Your Account Administrator controls what you can see in Insights dashboards. If you have No Access, a Data Access level has not been set for you or the Account Administrator has chosen not to give you access to dashboards.
If you believe you should have access to this dashboard, work with your Account Administrator to adjust your Access Groups settings.
Q: Why does a dashboard look different for me?
A: Your Account Administrator selects a Data Access level for you, which may filter out information that is not relevant to you and/or your projects. For example, you may only have access to see data for the projects you are participating in or only your own data—such as your utilization, expenses you have submitted, etc.
If you are not seeing the information you need to see, work with your Account Administrator to adjust your Access Groups settings.
Q: How do I share a dashboard with another user?
A: Depending on if it is a classic or dynamic dashboard, an Account Administrator can share the dashboard from one of the following places:
- Classic—Classic Insights Access Group (Settings > Insights > Access Groups)
- Dynamic—Insights Access Group set (Settings > Access Groups > [ select an Access Group] > Insights)
An Account Administrator can control what data is visible within both types of dashboards via the Insights Access Group set.
Q: How do the Access Group permissions for dynamic dashboards work?
A: Like with all Access Groups, if a member is a part of multiple Access Groups, the highest access level will apply to the user. Because of this, a user may see different dashboards than the ones you explicitly shared with them in one Access Group and they may be able to see more data than the Data Access level set in that Access Group.
In the example above, a user in access groups 1, 2, and 3:
- Has four dashboards—A, B, D, and E—shared with them
- Can see all data in dashboards A, B, D, and E
- Can manage dashboards A, B, D, and E
- Cannot access dashboard C
The lower Data Access levels and dashboard permissions from Access Groups 1 and 3 do not apply because they have higher access from Access Group 2.

Q: Why can’t a user see the correct data after I updated their access level?
A: Changes to the Insights Access Group set are not immediate. It may take up to half an hour before data access, dashboard permission, and shared dashboard selections are applied to Access Group members.
Q: Why can’t an email recipient access a scheduled dashboard export?
A: Before you can add someone as a recipient for a scheduled dashboard export, they must have access to view the dashboard via an Access Group. For help sharing a dashboard with someone, see Managing Dynamic Dashboards or Insights Classic: Add a Dashboard to an Insights Access Group.
Dates
Q: Why are the dates in Insights one day ahead of my timezone?
A: By default, relative dates on dashboards are set to Pacific Standard Time (PST). Because of this, dates in a dashboard will sometimes appear to be one day ahead of the expected date—or one day behind, depending on your timezone.
To change the timezone for all members on your Kantata OX account basis, contact Customer Success.
A: No, the default range for week filters can’t be changed. On classic dashboards, the default is Monday to Sunday. On dynamic dashboards, the default is Sunday to Saturday.
You can, however, manually select a custom range in the filter while viewing the dashboard.
Q: Why can’t I add a date filter to my dynamic dashboard?
A: You can only have one date filter for dynamic dashboards.
Attributes and Metrics
A: Some attributes and metrics can't be used in the same report due to an indirect or complex relationship in our data model, such as a many-to-many relationship. A many-to-many relationship is when multiple items in one data set are connected to multiple items in another data set. For example, a project can contain many groups and a group can contain many projects.
Examples of attributes and metrics that have a many-to-many relationship and can’t be used in the same report include:
- The Task: Name attribute and the Group: Name attribute
- The Project: Name attribute and the Task Tag: Name attribute
- The Group: Name attribute and the Hours Actual metric
A: The cost rate in the account's default currency is selected when you use the User Cost Rate metric.
A: Holiday hours and time off are automatically deducted from the Workday Time in Hours metric.
A: Role: Name is a user's role in a project, which is set on the Rates & Roles page. A person may have multiple roles in a project.
User: Default Role is a user's account role, which is selected in the Account Members Details side panel in Settings > Members.
